Campout Reservation and Payment Process

There seems to be a bit of confusion regarding the process of reservations and payments for campouts. Hopefully, this will clear up the confusion.

Reservations Open
The first step in this process is the opening of reservations for a particular campout. The dates that reservations open are listed on the Campout page as well as the Important Campout Dates page. The reservations will open on the dates listed at 8pm, regardless of whether a reminder email goes out. We do our best to send out reminders, but these two pages are your primary notification of campout information. Please mark your calendars for these dates.

When the reservations are open, there will be a link to the Reservation page on the Campout page. If reservations are closed, the Campout page will state that.

First Come, First Served
The intention is that the Chief of each tribe will make a reservation for a campout and indicate how many of his tribe members are planning to attend. If the Chief is not going to have access to a computer at the time reservations open, he should designate someone to make the reservation in his place. This is important, because in the event that a campout has more reservations than space, tribes will be admitted in the order the reservations were made.

Reservation Confirmation
It is only necessary to make one reservation per tribe for a particular campout. A confirmation email will be sent to the email address used in the reservation. If a confirmation is not received at that address, there may be a typo in the email address. Please make another reservation.

Contact Person
If a confirmation email is still not received, please contact the Webmaster. All other questions regarding campouts should go to the corresponding War Chief. He is the one who controls the campout. The Webmaster and the War Chief may be contacted from the Officers Page or the Contact Us page.

Reservations Close
The next step is the closing of reservations. This date is also on the two campout pages and occurs at 11pm on the date listed.

Payments Open
Once reservations close, the War Chief for that campout calculates the number of members who have been listed in reservations. He then decides which tribes, in order of their reservations, may be confirmed and opened for payment. The War Chief will advise the tribes that they are confirmed for the campout and that they may make payments. In case this email is not received, it doesn't hurt to go to the payments page and see if your tribe is listed in the pull-down menu for the campout in question.

Due to the potential of having more reservations than space, payments are normally not opened until after reservations are closed. In rare cases, like the two Olympia campouts in November, some tribes are opened for payment before the reservations close. This in no way affects the other tribes and once reservations close, the normal payment process will begin.

After the first set of tribes has had time to make payments, the War Chief will turn those tribes off for payment. He will then contact the next set of tribes, if sufficient space remains at the campout. They will then be able to make payments. This process continues until the campout is filled with paid members.

If your tribe is not on the pull-down list for a particular campout, it means your tribe has not been confirmed yet. Please be patient. If your tribe has already been confirmed and others from your tribe have made payments, but your tribe is no longer listed, contact the War Chief for that campout.

Timeliness of Payments
It is important that once your tribe is notified that it is confirmed for a campout, all the tribe's attending members must make their payment. This is because payments will only be open for a short time for each set of tribes, so that the next set of tribes may be allowed to pay.

Exception to the Rule
On some occasions, the likelihood of overselling a campout is so remote that the War Chief will decide that any reservation will automatically be granted the ability to pay. This is sometimes the case with Camp Cinco and a few other rare cases. You should realize that this is an unusual situation.
